This is the first meeting of ECE SAC of Autumn 2021. Roles and responsibilities are assigned in this meeting. Members plan their activities and brainstorm ideas for the Autumn quarter.

List of Discussions:

  • Mona suggests having a storage/locker (not the locker in the ECE building) for storing the property of ECE SAC. She will contact the committee to borrow storage for future activities and communicate with all other organizations.
  • Sam Burden invites board members of SAC to his committee with a meeting frequency of one to three times each quarter.
  • Rithu will schedule a time for the town hall that most students can attend. Members also discuss the mode of the town hall: in-person, hybrid, or online?
  • Board members brainstorm the form of recruiting advertisement: poster, whiteboard, social media, etc.
  • A donor is engaged in improving the mental health of the University of Washington. SAC should collect student feedback to figure out what students actually need so that the donation can be utilized effectively.
    • Eugene suggests having a resilience lab, hiring more faculties, and increasing student welfare.
    • Devon suggests expanding student space such as having a new building like CSE.

In the meeting, board members share the progress they made in the last week.

Mona continues to reach out to the curriculum community.

Rithu is finding an appropriate time slot and place to hold a town hall. Rithu suggests holding the town hall at dinner time. Mona suggests not to hold the meeting in the midterm week and not to hold it after 8 PM. All members agree to hold the event at 6:30 PM. Note that many rooms only allow prepackaged food and are not allowed to eat inside the room.

Cory and members brainstorm ideas for advertising. (Posters, ask TAs to advertise, write on whiteboard). 

Eugene writes a proposal for funds specifically allocated for student mental health and wellness, suggesting hiring more advisors, improving student curriculum, funding a new faculty position on wellness, creating physical spaces, etc.

IEEE permits the use of lockers in the building (not longue). Suggestion for improving EE393 is brought to the committee.

The first town hall of the quarter will be held on November 9th, 6PM – 7:30PM at ECE269. Devon suggests the topics of the town hall includes potential mental health problems. Eugene suggests the first 15 minutes of the town hall would be introducing what SAC is doing and have a short Q&A.

Yona and Cory decide to make a poster and post it on social media.

Devon talks about ECE SAC transparency, in which SAC can post meeting notes on the website so that people would know what SAC is doing. Eugene and Jeffery will work on improving transparency. Also, Eugene is working on a proposal for the ECE student leadership newsletter.

In the first half of the meeting, the chair of ECE, Eric Klavins attended the meeting and addressed the current situation of the quarter and colloquium redesigning.

  • Masks are effective. The case is in control with the mask-wearing policy, and no case is caused by classroom interaction.
  • The colloquium is under redesigning, the committee discusses with industry and school faculties many times about the changes. The new graduate requirement is much more flexible and adaptive. The goal is to have no concentration, and transfer students are easier to transit.
  • SAC members reflect an issue in which students have difficulties having food. Hub always has a long line to wait and it is difficult to have space to eat. Jenny suggests that serving time can extend.

The second half of the meeting is to confirm town hall planning including pizza ordering, budget, and social distancing. 

  • Rithu suggests that everyone should only take off masks when eating and drinking.
  • SAC will have a meeting in CSE224 on at 11/4 1 PM. It doesn’t need all members to attend the meeting since the room is small.
  • Each member should invite other students to attend the town hall. Remember to email personally to shorten the distance between people.

Today’s meeting discusses the preparation of the town hall in detail. Harsha Vardhan who comes from the colloquium committee joins the meeting as a guest.

Board members discuss and agree on the following principles for the town hall:

  • Board members need to make sure to interact with students. Do not let students come and leave without doing anything.
  • Board members should arrive ten minutes early to prepare the town hall.
  • Take attendance for people who come to the town hall.
  • Every member invites five people to the town hall.
  • Take off mask only when eating and drinking.
  • Using Pollev to ask students questions.
  • Board members will clean the table after the town hall is done.

The town hall has a record-breaking number of people in attendance. There are 80 students including 41 BS, 31MS, 7 PhD, and 1 Post-doc.

Jeffery will write a follow-up email to attendees to say thanks and invite them to join SAC and an email to Jessie about the number of guests and increase the supply of Pizza.

The town hall is better to hold in a room where the speaker can stand in the center. In ECE 269, the voice of the speaker is hard to reach to the edge of the room. However, many rooms are paid. There are few alternative rooms we can choose. Stephanie suggests for ECE 403, but the room is not that big and it is reserved for faculty.

Board members summarize several things that can be improved:

  • More plates, more pizza.
  • A microphone is needed.
  • Pizza should be delivered later to the town hall.
  • SAC should provide an online option for the town hall.

Board members collect many suggestions and feedback during the town hall. For example, some students suggest that ECE should have its own study room. Stephanie suggests to rent Sieg 126 since ECE TA can reverse this room for office hours. Some students report an issue that Husky cards of ECE students can’t access the CSE entrance while two buildings are connected together and it’s often more convenient to enter from the CSE building. Other students hope to have a standardized recording for the class because some professors don’t have a sick policy. There is no recording for students who are unable to come to the class due to the pandemic. Eugene will write a report to the department to formally reflect these suggestions.

Evan Shahkarami from IEEE came to the meeting as a guest. He shared the activities held by IEEE and discussed how SAC would hold a similar activity, which will involve board games. In addition, the budget for ECE SAC activities is approved thanks to Mona’s effort. The new activity might be held in week ten, which will give students a chance to relax and socialize before the dead week. The candidate room would be ECE269 or ECE303. The activity plans to be held in the evening, however, PMP students have classes in the evening and they are engaged in joining the community. Evan also shares the storage of IEEE with SAC.

In the first half of the meeting, the SAC members focused on the event next Monday, Dec 6th. ECE SAC prepares a game night in ECE 269 4 PM – 6 PM where students can play games to relax before the final week. SAC will improve the process based on the problems found in the last town hall. For example, we should have big sharpie pens to label and write.

In the second half of the meeting, the meeting focused on the post town hall meeting with Chair Klavins. Eugene suggests a half-hour meeting from 2:30 PM to 3:00 PM on Friday. While SAC reflects the feedback collected from the town hall to the chair, the chair will also ask questions to SAC for more detailed information. SAC also should prepare a handbook for guiding new members. Eugene suggests that ECE SAC should not be the only way to reflect the voice of students.

In the end, SAC discusses recruiting for the next year. Since many members will graduate and leave UW this academic year. We should guarantee that the SAC will have new members by the spring.

There are 75 people attending the social night. SAC needs to supply more pizza.

The meeting discusses building connections with IEEE and GSA. The meeting also collects suggestions from members for improving SAC. Here are several suggestions made by board members: having a hybrid mode of the town hall, solving technical issues, and having a microphone. 

Eugene finishes the draft of the ECE SAC handbook. Members are assigned to complete each section of the handbook. The handbook provides guidelines for how to run the organization for the new members. The guideline provides important details including officers and membership, meetings, branding and communications, and budget and operations. Members can also help revise the proposal for ECE Student Leadership Newsletter.

This is the first meeting of the quarter. In the meeting, board members determine the plan and meeting time for the rest of the quarter, which would be Tuesday 3:00 PM to 4:00 PM. Michael Giovanni joined the ECE SAC. Board members plan a town hall with a hybrid mode at Feb 21 – Feb 24. Professor Klavins is interested in SAC and we would invite him to the next meeting.
